How is access controlled for SharePoint Storage Folders?

Overview

SharePoint Storage Files and folders are not shared the same way they are on OneDrive, direct file sharing is restricted. SharePoint Storage Folder owners must grant access through group membership.

 

Group Naming Convention

All access groups are named "Storage-<Site>-<Folder>". Here are a few examples:

  • Storage-OIT-Test
    • Provides read/write access to the folder:
      https://vandalsuidaho.sharepoint.com/sites/Storage-OIT/Documents/Test
  • Storage-Engineering-Training-Readonly
    • Provides readonly access to the folder:
      https://vandalsuidaho.sharepoint.com/sites/Storage-Engineering/Documents/Training

 

Managing Access

Access is managed by the folder owner through Microsoft MyGroups functionality. Information on the MyGroups web app is available here: https://support.uidaho.edu/TDClient/40/Portal/KB/ArticleDet?ID=1662

 

Limitations

  • Only owners of a SharePoint Storage Folder group can grant or revoke access.
  • Owners can only give access to individuals.
  • Owners cannot give access to a nested group. This can be done administratively, contact your local support team for assistance if needed.
