Software Procurement Request

Overview

This service is for Faculty and Staff to purchase software or renew previously purchased software licenses for their use on University of Idaho owned computers. This does not cover the renewal of Adobe licenses, which is a separate service due to the unique and changing nature of the University's ongoing agreements with Adobe. (Adobe renewals are covered under a different article)

Certain software licenses are considered "standard" by the University and do not require any further vetting, but new software that has never been purchased by the University before may require vetting through the Security Team and IT Governance.

To purchase software, Faculty or Staff will need an email or device name to be associated with the software license, an index or budget number for billing, and a description of the software they wish to purchase, including a link to the vendor's URL or purchasing-portal if possible. The more specificity the smoother the purchase request processing will be.

Standard Software

Certain software is considered "standard" by the university, and a stock of licenses may be kept by the Procurement Office for assignation to Faculty or Staff on receipt of a request with valid index number. These require not vetting and are all Microsoft software for which the University goes to a standard vendor for purchasing:

  • Power BI Pro ~$25
  • Project ~$120
  • Visio 365 (named) ~$25
  • Visio Pro (device) ~$55
  • Visual Studio Enterprise ~$315
  • Visual Studio Pro ~$55

 

Other Software

Other software covers everything else, from common software that has been purchased for a variety of positions before, to niche or stand-alone software. A description of this software is required to identify it for purchase, and a link to the vendor website is preferred, and the greater the specificity in the request, the smoother the process of purchasing will be.

Common software that has been purchased multiple times will not typically need any vetting, but requests for new software never purchased by the University before will require vetting by Security and IT Governance.

  • SnagIt
  • NVivo
  • etc.

Renewals

Software licenses that are up for renewal need to be renewed through the Procurement Office with a Procurement Request, in the same way as new software purchases. It is the same process and form, requiring staff email or UI-device, index number, and description of the software. Providing the renewal reminder email or other such identifying information is also helpful in smoothing the process of purchasing these renewals.

Faculty and Staff use this service to purchase licensed software for their use on U of I owned computers. 

OIT Procurement will work directly with vendors to obtain the best possible pricing on all software. 

Please consult with your TSP about your software needs by submitting this service request with detailed information. 

Software purchases include software such as:

  • Microsoft products such as Visio Pro, Power BI, SQL Server etc. 
  • Camtasia or SnagIt
  • MiniTab
  • VMware

 OIT Procurement manages records of software purchases made, along with when the software needs to be renewed if applicable. 

Adobe Software:

The University of Idaho has a site license agreement with Adobe for Creative Cloud and Acrobat Sign.  Information on what software is provided and to whom is available in a separate article.
