Neat Bar/Zoom Room Support

Overview

This will be a summary/guide for the use and troubleshooting of the Neat Bar systems currently installed in the following rooms: IRIC 305, IRIC 321, ED 515

Equipment in the Space

The Zoom Rooms powered by Neat systems have the following equipment:

  • Neat Bar Pro (Located under the main display)
  • Neat Center (Located on the center of the table)
  • Neat Touch Panel (Located at the head of the table)
  • DTP HDMI 4K 230 Rx (Mounted behind main display)
  • DTP HDMI 4K 230 TX (Mounted under the table)
  • ICRON USB 3-2-1 Starling 3251C-10 (Mounted under the table, other end mounted in credenza)
  • Extron UCS SW 313
  • Main Display (On the Wall)
  • ED 515 will have a PC that is integrated into the space

Neat Touch Panel/Starting System

When first entering the room, the touch panel may be in sleep mode and will prompt the user to "Touch the screen" to start. 

 

Before joining a meeting, the touch panel will display a variety of options. The following runs through what those options offer:

When joining a meeting, you will have full control of the Zoom meeting, including muting, volume, participants, etc. Below is a useful key to the various options and what they do:

Starting/Joining a Meeting

To start a Zoom meeting from "scratch", the user will need to follow these steps:

  • Tap "New Meeting": On the Neat Pad's home screen, select the "New Meeting" option.

  • Choose Your Platform: If prompted, select your desired meeting platform (e.g., Zoom, Microsoft Teams).

  • Invite Participants: Once the meeting starts, you will have options on the Neat Pad to invite participants via email, phone number, or by sharing the meeting ID/link.

If a user already has a meeting scheduled or a meeting ID, they would like to join, the following steps will get them connected:

If a meeting has been set up via the rooms resource calendar, it should display on the main screen and can be joined via the following steps:

  • Locate Your Meeting: On the Neat Pad's home screen, you should see a list of scheduled meetings for the room. Your meeting should appear here.

  • Tap the "Join" button to join your meeting

 

Teams/Google Meet/Ect

The Neat System is not fully locked to Zoom only and can be used to join Teams, Google Meet, and Webex meetings as well. The user will need to press the "Teams, Google, Webex" from the main screen and enter the ID in the same way they would for a Zoom Meeting. 

 

Screen Sharing & B.Y.O.D (Bring Your Own Device)

A user in this space can share their laptop/device screens via the following methods: locally in the room only, or to the Zoom Meeting. B.Y.O.D will be the recommended method for doing a Teams call in these spaces, as the laptop/PC share will have the best performance and retain all functionality. 

HDMI:

All Neat rooms will have an HDMI cable at the table that a user can plug into their laptop and then hit "Share Screen" as shown in the picture below:

Once done, your laptop/device screen will be viewable by users in the room or Zoom meeting, depending on the current room state. 

Wireless Sharing:

A feature of the Neat systems is the ability to share content via your laptop or other device via wireless means. There are two ways to use this feature, depending on whether you are currently in a Zoom Meeting or just sharing locally in the room.

B.Y.O.D Mode:

With the technology installed in the space, the user also has the option to fully "bypass" the Zoom Room and take over the Neat cameras, mics, and main display. This will be useful for guest users, using the room locally as a meeting space, or users who are more comfortable using Zoom via their devices. 

To enter B.Y.O.D. mode, a user must swipe right on the main page, which will bring a window to the foreground. From there, they will press the "BYOD mode" button.

Once in BYOD mode, the laptop or PC (ED 515) will take over the peripherals for the room, such as the camera, mics, etc, and become the main controller. At this point, you can start a Zoom or Teams meeting like normal with the technology in the space.

While in BYOD mode, options will be limited on the touch panel, but you will still have access to Volume, mute, and the four camera options.

To exit BYOD mode, simply swipe right to left again on the small indicator and exit. When switching between BYOD mode and the Zoom room, the system will briefly be inaccessible as it switches. 

ED 515 Auto Switcher:

ED 515 will have one additional device that the others do not; this will be an Extron UCS SW 313. This is an Auto-Switcher that will allow the room to switch seamlessly between the in-room PC and a laptop that a user has brought in. This will follow the same share steps as a.bove but will use the laptop when the table HDMI is plugged in, and the PC when not plugged in. This device will live in the Credenza.

Camera Control/Options

The room system utilizes multiple cameras to ensure the best possible angle for all in-room participants. This is achieved via the "Neat Bar Pro" at the front of the space and the "Neat Center" located at the middle of the table. There are four options a user has for how to utilize the cameras in this space, which can be selected via the touch panel:

  • Manual: This will be a static view that can be aimed via the touch panel controls and will not automatically adjust.
  • Speaker Focus: Will try to frame whoever the current speaker is and give them a focused view.
  • Auto Framing: This mode will try to find all participants in the room and adjust the camera to find an optimal angle/frame to include everyone.
  • Multi-Focus: This mode will create separate "Breakout" frames for each participant in the room to allow for clear viewing of each participant in a Zoom meeting.

Troubleshooting Neat System

1. Basic Checks (Always First):

  • Power: Bar Pro, Pad, Center, Display – all plugged in and on? (Check LED lights).

  • Cables: HDMI, Ethernet, USB-C (for BYOD) – all securely connected? Reseat if loose.

  • Restart: On Neat Pad: Settings > General > Reboot. If frozen, power cycle (unplug/replug).

  • Network: Neat Pad: Settings > Network – is it connected with an IP address?

2. Video & Camera Issues:

  • No Video/Black Screen: Display on correct HDMI input? Neat Pad's video icon un-muted? Check Bar Pro/Center camera lenses for obstructions.

3. Audio Issues:

  • No Sound (in-room): Check Neat Pad volume and display volume. Ensure remote participants aren't muted.

  • Can't Be Heard (remote): Neat Pad's mic icon un-muted? Speak clearly within mic range.

  • Echo/Feedback: Ensure no other devices (laptops, phones) have active speakers/mics in the meeting.

4. Neat Pad Issues:

  • Unresponsive/Frozen: Tap to wake. If still stuck, reboot via Settings or power cycle.

5. Neat Center Specifics:

  • Not Working/Showing: Confirm power and Ethernet connection. Is it paired with the Bar Pro (Neat Pad: Settings > Devices)? Both Bar Pro and Center on the latest firmware?

6. BYOD Mode (Side Button) Issues:

  •  Did you manually select "Neat Bar Pro Camera," "Microphones," and "Speakers" in your laptop's meeting app settings?

ED 515 Switcher:

  • The ED 515 switcher will be powered via a standard AC cable and be located at the credenza. This device will be configured to switch to an HDMI for the laptop when plugged in and back to the PC when unplugged. If the device is not switching, ensure the labeled cables are plugged into the correct spots, and if that does not help, reboot the device via the AC cable.
  • This device will also be responsible for switching the USB-C connection that will allow the user to bring a mic, camera, etc, into the laptop or PC. If those devices are not showing up on the device, ensure the USB-C cable at the table is plugged into the laptop. You can also check that the cabling to the switcher itself is firmly seated and plugged into the correct spots. 

 

Other

  • ED 515 specifically will have an in-room PC and laptop HDMI options for "BYOD". This allows the room users to "bypass" the Zoom Room and use the PC as the main system instead. 
  • All of the Neat Devices are PoE (Power over Ethernet). If a device is not powering on, ensure that the Cat6 cable is plugged in and that there are no network/port issues
