Zoom Video Storage - Transition from OneDrive

Overview

Because Microsoft has dramatically decreased the storage capacity for our contract and Zoom has drastically improved its security and privacy settings, any Zoom videos recorded after Friday, August 2, 2024, will be stored in the Zoom cloud.

Instructors who are recording Zoom meetings for classes are encouraged to use LTI Pro in Canvas to create their Zoom meetings which will enable better integration with Canvas and easier sharing of videos through Canvas. Zoom Cloud Video Retention Policy

To ensure that we continue to have enough space in Zoom to store videos, cloud recordings older than 180 days are automatically deleted and sent to a trash folder. If you need to keep recordings, you have 30 days to retrieve them from the trash.  

  • You will receive an email alert when the recordings are moved to Zoom trash. 

  • You will receive a second email alert 7 days before the recordings will be permanently deleted. 

  • If you have a special circumstance such as students with incomplete grades needing access to Zoom recordings beyond 180 days, you can apply for an extension. To apply, email ccts@uidaho.edu.  

  • All recordings in OneDrive before this change will remain in OneDrive, but similar controls for video retention in OneDrive will be implemented at a future date.

Accessing & Managing Videos Stored in the Zoom Cloud

Sign in to the Zoom web portal at zoom.uidaho.edu. If you are prompted to sign into Zoom through Canvas, be sure to use the SSO option as seen below. 

In the navigation menu in the left panel, click Recordings.

Find the cloud recording you want to share, download, or delete.

Sharing a Zoom Video

Click Share to display the recording link information and sharing settings. Who can view should be set to Signed-in users in my account (all those with a UofI account would be able to access). If you need to share with those outside UofI, the best option to keep the recording secure is to enter email addresses in the Share with specific people field. Use caution in using the Shareable link option. Ultimately, the host is responsible for deciding how they share recordings. Instructors must consider FERPA Guidelines when recording and sharing videos. Also, consider visiting the Share Settings link at the bottom of the Share box to control the access further.

Downloading or Deleting a Zoom Video

Click the more option Three horizontal dots that is the symbol for the more menu in Zoom next to the video and select Download or Delete.

Benefits to Storing Videos in the Zoom Cloud

Besides freeing up storage space in Microsoft, there are other notable benefits to storing videos in the Zoom Cloud.

Audio Transcription for Cloud Recordings

Audio transcription automatically transcribes the audio of a meeting or webinar that you record to the cloud. After this transcript is processed, it appears as a separate VTT file in the list of recorded meetings. Additionally, you have the option to display the transcript text within the video itself. When sharing a cloud recording, you can enable or disable if viewers can see the transcript (see Share Settings box above). See this article for more information about audio transcription.

Zoom AI Companion Smart Recording

Recording to the Zoom cloud will also allow the use of the Smart Recording feature in Zoom AI Companion. If you decide to enable Smart Recording, you will have access to recording Highlights, Smart Chapters, Next Steps, and meeting coaching analytics.
