Artificial intelligence (AI) is a truly transformational technological advance as well as being a rich area of study full of possibilities. With innovation and discovery comes responsibility.
U of I is a research institution at its core, and we encourage the creative use of AI. As we continue discussions on this subject and all its possibilities, there are immediate considerations for which all of us bear responsibility – the security and integrity of university data and the privacy of our people. Be aware of and adhere to the following considerations:
- All university APM and FSH policies must be followed when utilizing AI.
- Do not put identifiable student, employee, or regulated data into public AI models like ChatGPT.
- Remain vigilant in adherence to FERPA, HIPAA, GLBA and other applicable compliance requirements.
- Understand that the use of AI can generate university records that could be subject to public record responsibilities.
- An example is meeting summaries generated by tools such as Zoom AI Companion.
- Carefully review contracts and subscription terms for AI services and understand their impact on ownership and use of our data.
- Remember that most university employees may not sign contracts or accept terms and conditions. Questions in this area can be referred to purchasing@uidaho.edu
- If you are looking at subscribing to an AI service, a request should be submitted to the IT Governance and Prioritization process.
New AI services are already changing the way teaching, learning, research, and administration are conducted at U of I and across higher education. Faculty are using AI in teaching and research and students are using it for assignments, resume building and numerous other applications. The university has established an AI Steering Committee to help lead our efforts in this space. More information on the AI Steering Committee website. There are ongoing discussions at Faculty Senate on many AI-related topics including how we can help teach students about responsible use of AI. CETL established working groups and developed workshops and has a website of existing and emerging best practices. ORED is conducting research into how to improve their own administrative processes, and we have researchers furthering the study and use of AI. OIT and others are looking at the inclusion of AI in administrative and academic processes. These are just some examples of current use, but with nearly unlimited applications we have only just scratched the surface.
