What is Workflow Monitor?
Workflow Monitor in Etrieve Central is an administrative tool provided by Softdocs to review active packages, move packages within the workflow, and re-assign packages. Application Administrators need to enable this functionality for specific users for it to be available.
Where can I find it?
The Workflow Monitor can be found in the Etrieve Central Settings, as a new tile displayed as Monitoring, under the Flow drop down.
How can I use it?
Open the Workflow Monitor window by clicking the tile shown above. You will be presented with a search bar, which can be filtered by the following parameters:
- Package
- User/Group/Role
- Workflow
- Submission Date
- Package Item
Most forms use have useful information in the package name such as name, vandalnumber, form name, department, etc., so searching by Package is a good place to start. In the example shown below, "Skye" was used to find a package related to this person, but searching by "HR", "Performance Evaluation", or Vandal number (Not shown) would also work.
If you select a package, details about the Package will be displayed including:
- Name
- Status
- Workflow
- Description
- Current Step
- Time at Step
- Time in Workflow
- Workflow Started
- Package Started
- Assigned To
- Error Messages
- Locked By
- Actor Filter
as shown below.

Packages that are opened users are locked until that user takes action on them. If you need to unlock a package so that a different user can take action, use this option
Move Package
Inside of Etrieve Central settings, a new tile will display called “Monitoring” on the Settings menu which will navigate to Workflow Monitor. Workflow Admin users within an organization will be able to visualize, act on non-closed packages and use Workflow Monitor as a troubleshooting tool to identify stuck or errored packages.
When you open monitoring you will be able to display a list of all package information
Re-assign a single package to a new user or group
Move a single package to a new step in the workflow
When performing these actions, you will be circumventing the current workflow step and assigning it to a new workflow step or actor. Please use caution when making a change like this, as you could be skipping required signatures or processes.
Once you have opened the Monitoring page, you will be presented with a search bar. You must begin searching for a specific package item before any results will appear.
