Managing and moderating your Mail Enabled Security/ Microsoft 365 group

Overview:

Message moderation is the process of requiring approval before a message is delivered to a group. The individual responsible for approving or rejecting messages is referred to as the moderator.


How the message approval process works

When a message is sent to a moderated group, the sender is notified that delivery may be delayed:

The moderator then receives an email notification with options to approve or reject the message. The notification includes buttons for approval or rejection, along with an attachment containing the original message for review.

Messages awaiting approval are temporarily stored until the moderator takes action. The moderator can choose one of the following options:

  • Approve: The message is delivered to the intended recipients without notifying the original sender.

  • Reject: The sender receives a rejection notification. The moderator has the option to include an explanation.

            

  • Ignore/Delete the Approval Request: If no action is taken within five days, the sender receives an expiration message.

Note: message approval only works in the Windows desktop app. If you are using a Mac you will need to use mail.uidaho.edu in order to approve messages.

What is the difference between a group moderator and a group owner?

A distribution group owner manages group membership. For example, an IT administrator may own the "All Employees" distribution group, while a Human Resources manager may be designated as the moderator responsible for approving messages sent to the group. Messages sent by the group owner do not require approval.

What happens when a moderator sends a message to the distribution group?

Messages sent by the moderator bypass the approval process and are delivered directly to the group.

 

How many moderators can a group have?

A group can have a maximum of ten moderators.

 

Who can be a moderator?

Only named individual user accounts can be assigned as moderators. Shared email accounts cannot serve as moderators.
