Overview

The Nexus Automation Suite is the University of Idaho’s platform for automating administrative processes, integrating AI, and improving day-to-day operational efficiency. Nexus organizes these capabilities into individual modules — self-contained dashboards that each support a specific set of administrative tasks. This article explains who can use Nexus, how to log in, and how to request access to modules that require approval.

Who Can Use Nexus

Access to Nexus is organized around two tiers:

  • All University of Idaho users: Every authenticated user can access the Payroll Module to submit a Retroactive Payment Request. This feature is available to all users once they are logged in — no additional approval is required.
  • Approved user groups: All other modules — and certain features within the Payroll Module beyond the Retroactive Payment Request — are restricted to specific user groups. These modules and features are visible and usable only to users who have been granted access for their role.

Because availability depends on your role and approvals, the set of modules you see after logging in may differ from what another user sees.

Logging In

You must be logged in to view and interact with the modules available to you. Before you sign in, Nexus displays your status as “Guest - Not logged in” and the module list is hidden.

  1. Locate the login control in the upper-right corner of any Nexus page, shown as the account icon labeled “Guest / Not logged in.”
  2. Select it to sign in using the University’s standard single sign-on (SSO) login. Use your University of Idaho credentials, the same account you use for other University systems.

Available Modules

Once you are signed in, Nexus lists the modules you are permitted to use under the Available Modules section of the home dashboard. Every user will see the Payroll Module for submitting a Retroactive Payment Request. Additional modules appear only if your user group has been approved for them. If a module you expect is not listed, it likely requires access approval (see below).

Requesting Access to a Module

Access to non-public modules and features must be approved. If you need a module or feature that is not available to you:

  • Submit an IT service desk request.
  • Once your request is reviewed and approved, the module or feature will appear under Available Modules the next time you log in.
