This guide will familiarize you with classroom technology and technology teaching standards within the College of Law. The University of Idaho uses Zoom for video conferencing. Most of our classrooms are equipped with technology to facilitate Zoom meetings in the classroom. Anyone teaching a dual-location class will need to schedule a Zoom meeting for their class in order to connect the Moscow and Boise rooms. Zoom can also be used to make class recordings and to host virtual office hours.

Scheduling a Zoom Meeting
Here are the instructions to schedule a Zoom course:
- Open your web browser and go to www.zoom.uidaho.edu.
- Click “Sign In” and enter your UI credentials (your UI email address and password). This will take you to the dashboard.
- Click on “Meetings” from the sidebar on the left.
- Click on “Schedule a New Meeting.”
- On this page, enter the details for your course. In particular:
- Topic: Name of your course
- When: The date/time of your course’s first meeting
- Duration: Length of your class
- Time Zone: Your time zone
- Recurring Meeting: check the box
- Select “weekly” recurrence
- Occurs on: check the box for all of the days per week that your course meets
- End date: select the last day of the semester
- Registration: do not check
- Security:
- Video: keep default settings
- Audio: check box for “Both”
- Meeting Options:
- Keep the box checked for “enable join before host”
- If you wish to record all of your classes, check the box for “Record the meeting automatically” and select “In the cloud”.
- Click "Save" at the bottom of the page.
- You will now see the “manage” page for the meeting you created. This page has the Meeting ID and settings for the meeting.
- Click the “Copy the Invitation” link on the right side of the screen.
- In the pop-up window, click the “Copy Meeting Invitation” button. This will copy the meeting info to your clipboard.
- Paste the copied information into a Word document. Only the following component of the pasted information is key:

- Provide this key info to your students and the administration. For dual-location classes, students will need the meeting info in order to connect their classroom to the meeting.
- Include this key info in your syllabus.
- Post the information on your course Canvas page.
- While it is necessary to provide the Zoom info to your students to connect dual-location courses, individual Zoom participation is prohibited. Students are required to be in the scheduled classroom during classes unless an appropriate accommodation has been approved.
Guest Speakers and Editing Meetings:
Zoom meetings scheduled with a U of I account require at least one form of security enabled to prevent unwanted participants in classes. The default security option is to require authentication. This means only users logged in to Zoom with a University of Idaho account will be allowed to join the meeting. In cases where you would like to have a guest speaker attend your Zoom class or meeting, you will have to create an Authentication Exception for them to join the meeting.
- Log in to https://zoom.uidaho.edu.
- Select the Meetings tab on the left-hand side of the screen.
- Find your class or meeting and click the Edit button to the right, then Edit All Occurrences if it is a recurring meeting.
- Scroll down to the Security section and click the Add button next to Authentication Exception
- In the window that pops up, enter the name and email address of your guest.
- Click Save
Your guest will receive an email with a unique join link for the class, which will allow them to join the class without authentication. Additional information on Zoom security options can be found at Article - Zoom Security Options and Article - Zoom Information - Law

Front Street Rooms and Menard 104, 107, and 108:
Starting the Classroom
- Tap the touch panel
- Select Video Conference for a Dual-Location class or Presentation for a local class
- Select Cameras in the top row and select Camera Rear
- Enable Auto-Tracking if desired
Using the Computer
- Log in to the computer with your U of I Net ID credentials.
Initiating a Zoom Call from the Computer
- Double-click the "Zoom" shortcut on the desktop. If you have not logged into the Zoom application, a web browser will automatically open a webpage asking for your U of I credentials. Once logged in, it will ask to open Zoom.
- In the Zoom window, your scheduled meetings should appear in a list on the right side of the program. Click the "Start" button next to the class you want to start. If you do not see your class in the sidebar, you can click the “Meetings” tab at the top of the program and find your scheduled meetings there.
Share Content
- Click the “Share Screen” button at the bottom of the Zoom application.
- From the share menu, click on the window you want to share: “Screen” for the computer (e.g., PowerPoint).
- For the Document Camera, laptop, or Camera Front: From the Share window, select Advanced, then click “Content from 2nd Camera”.
- NOTE: Only one source can be shared at a time.
End of Class
- When finished with class, click the red “End” button in Zoom and select “End Meeting for All”.
- Be sure to log out of the computer by double-clicking the "Log Out" shortcut on the desktop, or clicking on the start menu, clicking the user icon, and clicking "Sign Out."
Note: Failing to sign out of a classroom computer can affect other users, interfering with their ability to use the computer.
Do NOT shut down the classroom computers.

Starting the Classroom
- Press the On button on the control box on top of the stage at the front of the room.
- Select your input.
- PC - This selects the classroom computer.
- Laptop - Uses the input connected to the auxiliary HDMI cable
- Doc Cam - Uses the document camera
Using the Computer
- Ensure the computer is powered on.
- Log in to the computer with your U of I Net ID credentials.

Testing Computer Audio & Video:

Managing Participants and Privacy:

Privacy Protection:
With the added usage of Zoom meetings across the world, there are people exploiting open meetings by joining the meeting and sharing very inappropriate material or causing other disruptions. In response to this, the University of Idaho changed Zoom default settings; only the host can share. Auto-Captioning:
While hosting a Zoom meeting, you can click the Live Transcript button at the bottom of the window, then click Enable Auto-Transcription to generate live captions during class. https://support.uidaho.edu/TDClient/40/Portal/KB/ArticleDet?ID=1966 Alternatively, if you are using PowerPoint, you can turn on auto-captions to provide live subtitles (this will only provide captions for your speech/words and not anyone else in the call). Zoom Recording Consent
While UI employees and students do not need to provide express consent to be recorded in class, any guest speakers need to be provided the opportunity to consent to being recorded. Chat:
Zoom supports a chat feature to allow students or you to send messages to everyone in the call. You can also save the chat if you want to refer to it later. More info here: https://support.zoom.us/hc/en-us/articles/203650445-In-Meeting-Chat
Breakout Rooms:
If you would like to be able to break out students into separate calls (e.g., small group work), you can turn on breakout rooms before starting the class. Instructions on using breakout rooms are here: https://support.zoom.us/hc/en-us/articles/206476093-Getting-Started-with-Breakout-Rooms
Recording:
Zoom can record calls, but recordings of classes are FERPA protected. Only approved data storage platforms are allowed to store class recordings. This includes your university Microsoft OneDrive account. Recordings can be downloaded from Zoom and uploaded to OneDrive.
Non-Verbal Feedback:
Allow attendees to provide non-verbal feedback during a meeting or class (e.g., raise hand, yes, no, go slower, go faster, agree, disagree, etc). This feature must be enabled following these instructions: https://support.zoom.us/hc/en-us/articles/115001286183-Nonverbal-Feedback-During-Meetings
Video Layout:

Polling:

Virtual Office Hours:
Zoom can be used to schedule virtual office hours. Use the instructions above to schedule a recurring meeting for your office hours. We recommend turning on the Waiting Room function when scheduling to avoid any interruptions from other students.
Virtual Background:
