Zoom: Links to Useful Features Help

This article includes links on how to use some of Zoom's features including Zoom Test Call, Polling, System Requirements and Recording.

Body

Check for an update if a feature is not visible or not working as instructed. Open the Zoom client on your computer, click on your profile in the upper right corner (your picture or initials), click on Check for Updates. Zoom will automatically download and update the client if needed.
Log into Zoom by going to Zoom.uidaho.edu or use the computer desktop application.

Note: Log into Zoom using your UofI email and password. Zoom is setup to use Single Sign On (SSO) with your UofI credentials.

 

Useful Links

Annotation: Meeting participants can annotate on a shared screen as a viewer or the one that started sharing your screen. You can also use annotation tools when sharing or viewing a whiteboard. See Using annotation tools on a shared screen or whiteboard

Breakout Rooms: If you would like to be able to breakout students into separate calls (e.g. small group work) you can turn on breakout rooms before starting the class. Check for Updates: Zoom is adding features on a regular basis. It is recommended you regularly check to make sure you have the latest update. See Upgrade/Update to the latest version.

Co-Host: Co-host feature allows the host to share hosting priviledges with another user, allowing the co-host to manage the adminstrative side of the meeting, such as managing participants or starting/stopping the recording. The host must assign a co-host. There is no limitation on teh number of co-hosts you can have in a meeting or webinar. See Enabling and adding a co-host

Language Interpretation: Users that would like to include interpreters to their meetings and or webinars now have the ability to enable language interpretation. This allows the host to designate particpants as interpreters on the web portal or during a Zoom session. Managing Participants and Privacy: Make sure you know how to mute participants, remove participants, lock your meeting and change screen sharing priviledges. By default only hosts can share their screen. Managing participants in a meeting

Non-Verbal Feedback: Allow attendees to provide non-verbal feedback during a meeting or class (e.g. raise hand, yes, no, go slower, go faster, agree, disagree, etc). Passcodes: Zoom requires all meetings to have either waiting room or a passcode setup. Follow Zoom's Meeting and Webinar passcode instructions.

Personal Meeting Room: Your personal meeting room is a customizable permanent meeting. It can be useful for setting up one meeting ID for your office hours appointments and the ID can be set to something that is easy to remember (e.g. set it to be your UI phone number). You can also edit the personal meeting room settings to setup a virtual waiting room so students can’t interrupt you during another appointment. Polling: Zoom has a basic polling function that can be enabled in your Settings page at zoom.uidaho.edu. More information on polling is here: https://support.zoom.us/hc/en-us/articles/213756303-Polling-for-Meetings

Privacy Protection: With the added usage of Zoom meetings across the world, there are people exploiting open meetings by joining the meeting, shareing very inappropriate material. In response to this the University of Idaho changed Zoom default settings; only the hose can share. This Knowledge Base article, Zoom Privacy Protection, gives links on how the host can change those settings to allow participants to share as well as other settings to make meeting private.

Recording: Zoom can record calls but recordings of classes are FERPA protected and must be immediately moved to OneDrive or Microsoft Stream once the class is completed and then promptly deleted from your computer and your Zoom account: KB article Zoom to Microsoft Stream Video Migration Guide

Recurring Meetings: When scheduling your class you can schedule it as a recurring Zoom meeting. This will allow you to have one Zoom invite/meeting ID for all of the class meetings. More information is here: https://support.zoom.us/hc/en-us/articles/214973206-Scheduling-Recurring-Meetings

Screen sharing with Audio: If you are showing a video clip make sure to check the box in the share menu to optimize for full-screen video (Sharing Computer Sound During Screen Sharing). If you are just sharing an audio clip you can select share computer sound (Sharing Computer Sound During Screen Sharing).

Troubleshooting Wireless (WiFi) Connection Issues: If you are experiencing any issue(s) with latency, frozen screen, poor quality audio, or meeting getting disconnected while using a home or non-enterprise WiFi connection follow this link: https://support.zoom.us/hc/en-us/articles/201362463-Wireless-WiFi-Connection-Issues

Video Layout: You can set the layout of your video while in a call to see a gallery of student’s webcams or the view of the actively speaking student. Instructions are here: https://support.zoom.us/hc/en-us/articles/201362323-How-Do-I-Change-The-Video-Layout-

Virtual Backgrounds: UofI virtual backgrounds are available to use within Zoom (you do not have to load them). You can also upload your own images. To setup a default virtual background, click on settings in upper right corner, click on Background & Filters, select the background then close. In a meeting, click on the video camera up arrow, click on Choose Virtual Background, click on desired background and close. See Zoom Virtual Background (scroll to towards the bottom for User instructions).

Waiting Room: Waiting rooms are good for office hours. Instructors can bring students into the meeting to have private conversations. Zoom requires all meetings to have a waiting room or passcode for security concerns. Zoom's waiting room support

Whiteboard: Whiteboard feature will allow you to share a whiteboard that you and other participants (if allowed) can annotate on. See Sharing a whiteboard
