Forwarding emails from student to staff accounts

Outlook Web Application

  1. Open the Outlook Web Application in a web browser.
  2. Select the gear icon in the upper right corner.
  3. Select “View all Outlook settings”.
  4. Within the settings window select the Rules tab and select Add new rule.
  5. Name the rule (ex. VandalStar staff email forward)
  6. Add a condition such as “Subject Includes” if there are specific emails that will forwarded/redirected or the “From” condition if everything from a specific sender will be forwarded/redirected to another email. Enter the specific wording of the title into the “words to look for box” if using the “subject includes” condition. Enter the email address to be forwarded/redirected to if using the “From” condition into the appropriate box.
  7. Add the action “Redirect to” or “Forward to” and enter your staff email address into the bar to the right. *Important note: If you use redirect, your email will be redirected to another email address specified by a user created inbox rule. This rule will redirect the emails as if they came directly from the original sender's email address. If you use forward, your email will be forwarded to another email address, but you will not be able to reply to the original sender.
  8. Select Save

Outlook Desktop Application

  1. Open the Outlook Desktop Application
  2. Select the File tab
  3. Select the Manage Rules & Alerts button
  4. Select the New Rule button under the Email Rules tab
  5. Select “Apply rule on messages I receive” under the “Start from a blank rule section” of the Template page. Click Next
  6. On the Conditions page, select the “with specific words in the subject” condition if there are specific emails you wish to forward/redirect or select the “from people or public group” condition if you want to forward/redirect all emails from a sender. Select the blue hyperlinked text to indicate the specific words the message subject line contains or the specific email address you want to forward/redirect all messages from. Select OK. Select Next.
  7. On the Action(s) page, select “redirect it to people or public group” or select “forward it to people or public group”. Click the blue hyperlinked text to specify the specific group or people/person. In the box that appears enter the email address to which the emails will be forwarded/redirected. Select OK. Select Next.
  8. On the Exceptions page, you can enter any exceptions you may have for any emails this rule will affect. If you do not have exceptions select Next.
  9. Select a name for the rule (ex. VandalStar staff email forward) and make sure the “Turn on this rule” box is checked. Select Finish.
  10. The new rule should now appear on the list of Rules. Select Apply and then Ok.

*Important note: If you use redirect, your email will be redirected to another email address specified by a user created inbox rule. If you use forward, your email will be forwarded to another email address, but you will not be able to reply to the original sender.
