IAM - How are preferred email addresses set?

Preferred = a single primary email address for an individual (can only have one preferred address set)
Official = an email address type maintained by ITS for automatically created accounts (can be more than one)

An hourly process maintains email address entries in the primary email table in Banner. Here are the steps involved in the process:

  1. Individually owned accounts in the Account Tracking System, which are missing from the Banner email table, are added:
    • AD Exchange => Official (OF)
    • Office 365 Vandal Account => Official (OF)
    • Office 365 Alumni Account => Personal (PERS)
    • Office 365 Gold Account => Personal (PERS)
  2. Entries for Official (OF) addresses which no longer exist are marked as inactive.
  3. Entries for Official (OF) addresses which have been recreated are marked as active.
  4. Any Preferred address entries for students which do not end in "uidaho.edu" will have the Preferred flag cleared. The function used is UI_VWEB.F_AllowEmailUpdate.
  5. Any Preferred address entries for employees which do not end in "@uidaho.edu" will have the Preferred flag cleared.
    • "Temp" employees are allowed to have @uidaho.edu or @vandals.uidaho.edu set as preferred although employee accounts are strongly recommended.
  6. The Preferred flag is set for any individuals who do not have a Preferred email address but have a "uidaho.edu" address. This is the weighted order:
    • Official (OF) entries
    • uidaho.edu, vandals.uidaho.edu, gold.uidaho.edu, alumni.uidaho.edu
    • Activity date
  7. Any remaining users without a Preferred address have the Preferred flag set in this order:
    • Active
    • Non-parent ("FOLK", Primary Mother "PM", Primary Father "PF")
    • Official (OF)
    • uidaho.edu, vandals.uidaho.edu, gold.uidaho.edu, alumni.uidaho.edu
    • Activity date
