How do I manage quotas on S:\ drive folders?

As a University, we are at capacity for the (S:) Shared drive and we are projected to exceed capacity during the fall semester. Storage space on the S: drive should not exceed 80% of the available storage in order to avoid degradation of service with file storage and retrieval. We all need to help to prevent a recurrence of the crippling service degradation experienced this spring by evaluating and consolidating department file storage on the S: drive where possible.

How this impacts you: When we exceed the total space on the shared drive, customers will notice a degradation in service. Last Spring, we saw this happen when the total space used reached 182 TB of the 165 TB recommended. 

How you can help: Please take a moment to work with your end-users to look through department shared folders and remove any files that are no longer needed. Examples of items that will have the most impact on reducing our total used space include:

  1. Backups that ITS can assist with moving to a different service for storage
  2. Duplicate items (the same file stored in multiple locations) 
  3. Programs or software that ITS can assist with packaging into an easy-to-deploy solution (Windows Only)
  4. Virtual machines or archival content which should not be stored on the S:\ drive

 
New quotas are now in place
A quota of 1TB will be set for departmental root folders (such as “S:\ITS”) will be applied with the following attributes:

  • The root level quota is an aggregate of all the sublevel folder contents.  
  • The quota will not be enforced for 14 days after being exceeded. Instead, the owners will be notified by email daily until the issue is resolved.
  • After the 14 day grace period, the folder will no longer allow anything new to be saved, including file changes.
  • Departments using more than 1TB will be contacted separately to assess needs and assign quotas.
  • ITS will not delete folder contents if the allocated quota is exceeded.

Folders below the root folder (such as “S:\ITS\shared”) will have a quota of 200 GB per folder with the following attributes: 

  • The quota will not be enforced for 14 days after being exceeded. Instead, the owners will be notified by email daily until the issue is resolved.
  • After the 14 day grace period, the folder will no longer allow anything new to be saved, including file changes.
  • For folders larger than 200GB, we will assess needs and assign quotas.
  • ITS will not delete folder contents if the allocated quota is exceeded.
